Xero Tips & Tricks

Here at initiative we are all about working smarter not harder. One way we do that is by embracing
cloud-based technology, like accounting/bookkeeping software Xero. Here are our top 5 tips and tricks for our Xero clients:

1. Create Customised Roles
Xero allows business owners to create highly customized roles for users within xero. This means,
you can fully collaborate with everyone who impacts your business while controlling access to
sensitive information you don’t want everyone to see.

2. Inbuilt Calculator
Xero allows its user to perform basic math calculations within a transaction (eg. Unit field on an
invoice or bill). This increases accuracy and saves you trying to find a calculator. To utilise this, all
you need to do is enter the equation into the relevant field eg. 100+6

3. Adding a PDF/JPEG to your transactions
This feature is changing the way we store our hardcopy receipts and invoices. When entering a
bill, you will see an icon in the top right corner that looks like a piece of paper with a folded corner. Clicking this will allow you to attach a PDF or JPEG document to your transaction. This means, your receipt is stored in your xero file and eliminates the need to keep all those pesky boxes of paper. This can also save you money by not printing hard copies for your files.

4. Your Plus Icon
When you login to Xero, you will see a Plus + Icon in the top right corner of your screen. Clicking
this icon lets you quickly navigate to create several different transactions such as quotes,
expenses or invoices.

5. Invoice Reminders
Chasing debtors can be time consuming. Xero allows automatic reminders to be set up to save
you time. Settings>General Settings>Invoice Settings>Reminders button
From here you will be able to configure Xero to auto send reminders based on how overdue
invoices become.
